Creating a check request
Up one levelPrerequisites
Before you begin any transaction on Sinai Central, you should make sure that you have all the necessary information to conduct your business. In this case, you will need:
- the fund number(s) and object code(s) which you will charge the Check Request.
- documentation, receipts
In some cases, you may need:
- a Mount Sinai School of Medicine Purchase Order number
- prior knowledge of how the payee would want the check issued
Login
Login to Sinai Central. You can do this from http://www.mssm.edu/finance. Take a look at this document if you are having issues with your login.
Navigation
From the left menu bar, select Finance>Transactions>New>Check Request
Select a Payee
Like purchase order requisitions created in Sinai Central, we initiate the transaction by choosing a payee. You can find payees by:
- Review an alphabetical listing of available vendors.
- Type a vendor name into the search field and click the search button.
- Create a new payee to add to Finance's vendor listings.*
- If you found the vendor using the Search tool, click on the name of the vendor to continue onto the form.
*. When you click on the Create a New Payee button, the following form appears. Use this form only when a vendor is not found by searching. Since the Payee information will need to be verified with Accounts Payable, you should build some more time into your estimate of how long it will take for the transaction to be processed.
Review the Requester's Details
The Requester's Name, Box #, Telephone, and Department Name are taken from your Personal Profile.
Choose a Check Request Type
- From the drop down menu, select a Check Request Type. If you are not able to find a matching type to your check request, select Other.
- You may need to enter a Purchase Order number if your Check Request is over a certain dollar value. See the document Understanding Check Requests for further information.
Review the Payee Information
- You can click on Replace Payee to change the vendor. See the Select a Payee section for more information.
Enter Fund and Object Codes
Using the drop-down menus, select an appropriate Fund and Object Code. If you are not able to view any funds from the Funds drop-down menu, you will need to gain access to a fund from a Department Administrator.Choose a Handling Instruction
You now need to advise Accounts Payable how to handle the issuing and eventual destination of the check request. You can choose one of three ways to receive the check:- Have it sent to the Department Box Number. This can be useful if you need to include further documentation or paperwork for the payee. Enter a Name and Box Number in the fields provided.
- You can request that the check is picked up by an individual from the Cashier. Enter the Name and Phone Extension in the fields provided. This is useful if the payee is a Mount Sinai Medical Center employee.
- You can have the check mailed to the Payee.
Enter Line Items and Submit
- Type in an Explanation.
- The Amount for the check request.
- To add more line items to the request, click on the Add More Lines button. To delete a Line Item, click on the

- To complete the form, click on the Submit Form button. To save the request for further editing, click on the Save Draft.

Type a comment into the text field. This is the place to discuss the business details surrounding the check request. For example, any notes to the Department Administrator who will be approving the request can be entered here.
